Check the calendar first
Count the time left after appointments, travel and breaks. Allow some space for interruptions or a task taking longer than expected.
For example, a 90-minute window could hold a 45-minute proposal and a 15-minute phone call, with 30 minutes left over. Those estimates may be wrong; the spare time gives you room to adjust.
Give Aiken a specific window
Start with the tasks you want to schedule already in your list. You can click Plan my day and answer the planning questions, or supply the details in chat.
For tasks named Finish the client proposal and Book the dentist, try: “Plan tomorrow from 9:00 AM to 10:30 AM in my current timezone. Schedule Finish the client proposal for 45 minutes and Book the dentist for 15 minutes. Leave 30 minutes free. I have no appointments in that window. Show me the plan for approval.”
Change the time window and task names to your own. If Aiken asks follow-up questions, answer them and click Continue planning. Sign-in is required for this AI help.
Review the proposed schedule
The Review plan card shows the date, time window, and proposed events. Check these before accepting. In particular, look for a meeting or other commitment that you forgot to mention.
Use the arrows beside an event to move it earlier or later. To change the duration, included tasks, or other constraints, click Revise plan and explain the change. For example: “Allow an hour for the proposal and leave the dentist call out of this plan.”
Confirm when it fits
Click Confirm plan. The confirmation says Plan added to Calendar. If the proposal replaces a confirmed schedule, the button instead says Replace confirmed schedule; check what you're replacing before choosing it.
Tasks left out of the plan remain in your list. You can still choose today's top three separately: priorities tell you what matters today, while the calendar puts work at particular times.
Adjust after doing some of the work
Start the task you're working on to track elapsed time. Click Stop when you leave it. If the proposal took an hour rather than 45 minutes, use that information when planning similar work next time.
When an unexpected commitment takes over the afternoon, revise the plan around the time that's left. If you don't know how long a task will take, schedule a first pass to find out rather than promising to finish it.
